Zendesk Explore's Full Dataset Export Needs a Professional Plan

Explore's standard report export caps at 50,000 rows. The uncapped version, a full dataset export, is gated to Explore Professional and Enterprise, not something every Zendesk plan includes.

The 50,000-row ceiling on ordinary Explore reports

Exporting a report from Explore, the chart or table you built for a dashboard, is capped at 50,000 rows and 16,000 columns, per Zendesk's own documentation. For most reporting that's plenty. It stops being plenty the moment the underlying ticket volume, over a long enough date range or a busy enough account, pushes past that ceiling: anything beyond 50,000 rows is simply not in the export. Zendesk's documentation states the cap but does not describe how the boundary is surfaced, so treat any export that lands at exactly 50,000 rows as a likely incomplete one.

The full dataset export exists, but it's plan-gated

Zendesk's answer to the row cap is dataset export: pulling the entire underlying dataset, Tickets, SLAs, Calls, and so on, unfiltered and with no row limit, directly out of Explore rather than out of a built report. It's the right tool when a report genuinely needs everything, not a capped sample. Per Zendesk's documentation, it's only available on the Professional, Enterprise, or Enterprise Plus support plan combined with Explore Professional or Enterprise specifically, meaning a Zendesk account on a lower Explore tier doesn't have the menu option at all, independent of how much support-plan seniority the account otherwise has.

Requesting one, step by step

  1. In Explore, open the Dataset library from the main menu (only visible with Explore Professional or Enterprise).
  2. Select the dataset you need, such as Tickets, and choose Export.
  3. Zendesk builds the file asynchronously; you get a notification when it's ready rather than an immediate download.
  4. Download the CSV from the notification or the dataset library within the window described below, before the link expires.

Worked example: when 50,000 rows runs out

A support team averaging 2,500 new tickets a month crosses 50,000 tickets in the underlying data in roughly a year and a half, sooner if the report also counts updates and reopens rather than just ticket creation. A quarterly Explore report built against 18 months of history for that account is already past the ceiling; the report renders without an error, it just silently excludes whichever tickets fell outside the first 50,000 rows returned. The only way to notice is comparing the exported row count against a known ticket total from elsewhere and finding the numbers don't match.

Two more limits worth knowing before you rely on it

Even with the right plan, a dataset export isn't a permanent artifact. The downloaded CSV link is only good for three downloads, and Zendesk deletes the exported file from Explore seven days after the export ran. Treat it as a one-time pull to save somewhere else, not a link to bookmark and revisit later.

Troubleshooting

An Explore report export looks complete but numbers don't match reality

Check whether the row count sits at or near exactly 50,000. Zendesk's documentation states the cap exists but doesn't add an on-screen warning when a report hits it, so a report that looks finished can still be silently truncated.

The dataset export link stopped working

Two likely causes: it's been more than seven days since the export ran, or the link has already been downloaded three times. Either way, the fix is running a fresh export, not troubleshooting the old link.

What this means if Explore Professional isn't on the account

Without the Explore Professional or Enterprise add-on, the practical options for ticket-level data past 50,000 rows are the search export endpoint, covered in exporting more than 1,000 Zendesk search results, or the incremental ticket export API, neither of which needs an Explore plan tier at all. The shortcut: Zendesk Exporter

It's worth knowing its actual scope too: it exports ticket fields, not comment or description bodies; it works against one Zendesk subdomain at a time; and it doesn't export users or organisations.
