Bulk Import Invoices into QuickBooks Online

A safe invoice import starts with live validation, not a blind upload.

Prepare one row per invoice line

Use a stable external reference to group lines into invoices. Include customer, invoice date, due date, product or service, quantity, rate, tax code, and memo as separate columns. Keep currency and company conventions consistent.

Validate against the connected company

  1. Confirm every customer exists and is active.
  2. Resolve product, account, tax, and payment-term names to live QuickBooks records.
  3. Reject malformed dates, missing required values, and invalid amounts.
  4. Check duplicate document numbers before creating anything.

Validation should make no accounting changes. Fix every error in the sheet, then validate again.

Push a small batch first

Import two or three invoices and verify totals, tax, customer balances, and document numbers in QuickBooks. Once the shape is correct, continue with the remaining validated rows and keep the result IDs in the sheet for audit.
